Where the manual work sits in mechanical engineering

Process automation for mechanical engineering and industry.

In mechanical engineering, a lot of knowledge sits in quotes, bills of material and order data that is still maintained by hand. Enquiries arrive as PDF or email, line items are typed into the ERP, quotes assembled from templates, order and delivery data copied between systems. These processes are recurring enough for automation and at the same time too varied for pure RPA. We work as an implementing consultancy and bring the process with the fastest ROI live first, connected to SAP and ERP.

What comes in: PDF invoices, E-mail requests, Orders, Forms, Excel sheets, Onboarding. AI + RPA. Where it lands: SAP, CRM, DATEV, Approval.

Concrete use case: quote and order intake

The classic case is quoting. An enquiry comes in, an AI reads line items and specifications, matches them against catalogue and master data and prepares the quote. On order intake, the data moves cleanly into the ERP, bills of material and dates are reconciled. A human checks and approves instead of retyping line items. Cycle times drop, and transfer errors between enquiry and order disappear.

How we work

  1. We start with a process assessment, measure how much time quoting and order intake bind today and estimate the ROI.

  2. Then we bring a clearly scoped pilot live, with a SAP or ERP connection and monitoring.

  3. Only once it holds do we extend to more processes.

  4. No big-bang, but a start a mid-sized manufacturer can manage.

Classic RPA vs. process automation with AI

Classic RPA vs. process automation with AI
CriterionClassic RPAWith AI
Enquiry formats fixed templates only free specifications too
SAP/ERP ad hoc cleanly connected
Variants hard to map are recognised
Maintenance high on change more robust

Pure RPA demands uniform formats, yet in engineering every enquiry differs. With AI in front, line items and specifications are recognised instead of read rigidly by field. The SAP or ERP connection keeps order and master data in sync. So intake stays stable across many variants rather than breaking on every new enquiry type.

FAQ

Do you connect SAP and our ERP?
Yes, integration is the core. We connect quote and order intake to your existing system, whether SAP or another ERP, so data is not retyped. This connection decides whether an automation really holds in daily work.
Does it work with many product variants?
Yes, that is why AI sits in front. Instead of building a rule for each variant, the model recognises line items and specifications even in unfamiliar enquiries. New formats can be trained without rebuilding the whole process.
Which process is worth it first?
Usually quote or order intake, because it holds a lot of manual work and transfer risk and the value is clearly measurable. In the assessment we prioritise by ROI so the first process pays off fast.
