Intro
Choosing RPA software the right way, thought through tool-agnostically.
RPA software automates recurring clicks and inputs on existing interfaces, where no clean API is available. The market is full of platforms, and each promises the same. We see it more soberly: the best RPA software is the one that fits your process, your systems and your team, not the one with the loudest marketing. That is why we work tool-agnostically. We do not bind ourselves to a vendor but pick the tool by the process, often combined with n8n or Make for orchestration and our own AI for unstructured inputs.
What comes in: Screens, Excel sheets, E-mails, PDF invoices, Forms, Orders. RPA. Where it lands: SAP, CRM, DATEV, Approval.

Selection criteria that really count
Instead of ticking off feature lists, we check a few things closely. First, integration: are there real APIs to your systems, or must the software mimic clicks on interfaces? Second, maintainability: how stable does the automation stay when a layout or screen changes? Third, exception handling: what happens when a case does not fit the schema? Fourth, operating cost over time, not just the license at the start. And fifth, whether AI docks on sensibly so unstructured cases run too. These questions decide the real value, not the number of connectors on the data sheet.
When RPA alone is enough, and when AI belongs
For strictly rule-based workflows with fixed formats, pure RPA software is often the leanest solution. As soon as inputs vary, such as PDF invoices with changing layouts or requests in free text, it hits its limit. Then AI in front pays off, reading and understanding while the RPA layer executes. We decide this on the concrete process, not by principle. Sometimes the answer is plain rule automation, sometimes the combination. What matters is that less manual work remains and the workflow stays robust.
Integration matters more than the platform
-
The choice of RPA software decides success less than the question of how cleanly it integrates into SAP, your CRM and DATEV.
-
A prepared posting only saves time if it is taken over without rework.
-
A created order only helps if it lands cleanly in the ERP.
-
Where a real API exists, we use it instead of fragile interface clicks.
-
That makes the automation more stable and less dependent on the single tool.
-
This is exactly why we do not commit to one vendor.
What you gain
-
You gain a decision based on your process instead of a sales deck.
-
You gain an automation that still runs after the first layout change.
-
And you gain a provable ROI, because we measure on the pilot instead of weighing license cost against promises.
-
We bring one process live, show the value and only expand once it holds.
RPA software alone vs. RPA plus AI
| Criterion | RPA software alone | RPA plus AI and integration |
|---|---|---|
| Inputs | fixed formats | also PDFs and free text |
| Coverage | straight cases | also exceptions |
| Integration | often interface clicks | real APIs |
| Maintenance | brittle on changes | more robust |
| Lock-in | often one vendor | tool-agnostic |
Pure RPA software is a good tool for the straight cases. It gets expensive as soon as screens change or exceptions pile up, because then it needs constant fixing. With AI in front and real integration behind, the tool becomes a stable process. More on Process Automation with AI and in the comparison on Process automation with AI vs.
