Where the manual work sits in finance and insurance
Process automation for finance and insurance.
In finance teams and at insurers, a large share of the work runs on recurring documents. Invoices arrive by mail or PDF, get checked, coded and retyped, claims move through several inboxes, dunning is done by hand. These processes are rule-based enough for automation yet too unstructured for pure RPA. This is where we work as an implementing consultancy, not a software vendor. We map the document and approval flow and bring the process with the fastest ROI live first.
What comes in: PDF invoices, E-mail requests, Orders, Forms, Excel sheets, Onboarding. AI + RPA. Where it lands: SAP, CRM, DATEV, Approval.

Concrete use case: invoice processing
The classic case is accounts payable. An invoice comes in, an AI reads amount, tax rate and line items, matches them against the order and prepares the posting in DATEV or SAP. A human approves instead of retyping. At insurers, claims intake works similarly: documents are read, mandatory fields filled, the case lands in the core system. Error rates drop, cycle times too, and approval stays with the person.
How we work
-
We start with a process assessment, measure what a document costs in time today and estimate the ROI.
-
Then we bring a clearly scoped pilot live, with a DATEV or SAP connection and monitoring.
-
Only once it holds do we extend to more document types.
-
No big-bang, but a start a small accounting team can manage.
Classic RPA vs. process automation with AI
| Criterion | Classic RPA | With AI |
|---|---|---|
| Document types | fixed formats only | unstructured PDFs too |
| DATEV/SAP | ad hoc | cleanly connected |
| ROI proof | hard | proven on the pilot |
| Maintenance | high on format change | more robust |
Pure RPA often breaks at the next invoice layout. With AI in front, line items are recognised instead of read rigidly by coordinates. The DATEV or SAP connection keeps postings from being maintained twice. So the automation stays stable through the monthly close rather than breaking on every format change.
