Retrieval: definition, value and limits
Retrieval Updated
Definition
Retrieval is the targeted fetching of matching information from a knowledge source before an AI model answers. Instead of answering from the model's memory alone, the flow first pulls the relevant documents or excerpts and passes them to the model. The answer then rests on concrete, provable content. In automation, retrieval is the step that binds AI to your own knowledge.
Why the Term Matters
A model on its own knows nothing about your internal documents and guesses on domain questions. Retrieval closes this gap by presenting the matching passages from your knowledge source, with a reference. In the mid-market this is the foundation for an AI answer to be provable and current instead of invented. Knowing the term, you build answers on checked knowledge and lower the risk of a hallucination markedly.
When It Is Relevant
- An AI should answer questions about your own documents or rules.
- Answers must be provable with a source reference.
- The knowledge changes without wanting to retrain a model.
- The document base is too large to pass everything at once.
When Not
When a question is answered by the model's general knowledge and touches no internal sources, no retrieval is needed. And when the knowledge base is so small that it fits entirely into the request, the extra search step is overhead. Then a direct answer is enough.
Industries That Use It
- Legal advisory: answers based on the relevant clauses and documents with a clear reference instead of a free summary.
- Technical support: find the matching passage from manuals and service knowledge before an answer is drafted.
- Procurement: find relevant contract and terms details on point instead of searching documents by hand.
- Publishing and media: find the matching sources in large archives and bind answers to them.
Typical Use Cases
- Ground an AI support answer in the matching knowledge articles.
- Find the relevant passages to a question in a large document base.
- Attach a source reference to every answer from the source.
- Include current knowledge without retraining the model.
- Escalate to a human on a missing reference instead of guessing.
Decision Guide
| Signal | Retrieval fits | Alternative |
|---|---|---|
| Questions about your own documents | present matching passages | model alone on general knowledge |
| Answer must be provable | pass a reference from the source | free answer without a reference |
| Knowledge changes often | keep the source current, no retraining | fixed once into the model |
| Small, fixed knowledge base | pass it directly into the request | search step not needed |
Example
A technical support team automates answering recurring requests. For each question a retrieval step pulls the matching passages from manuals and service documents and passes them to the model. The answer carries the reference. If no matching source is found, the case goes to a specialist. So the answer stays provable and current. This describes the method, not an asserted client metric.
Service Connection
We build retrieval as the link between AI and your own knowledge in process automation with AI, based on a maintained knowledge source. The framing comes from the process automation consulting.
Sources
This framing describes common practice for binding AI answers to your own knowledge sources. Concrete implementation, search quality and data protection depend on the case, the systems and the tools and must be checked case by case.
